For gyms and fitness studios

Marketing, websites and systems built for gyms and fitness studios.

A gym or studio is a membership business that most owners market like a retail store: a January push, a trial offer, and then silence while members quietly cancel in April. Growth comes from three numbers working together: the cost of a trial, the rate at which trials convert to memberships, and how many months a member stays. We build for all three. The website sells the trial in one tap and books it into Mindbody, Glofox or Zen Planner, paid social and search fill the trial calendar in the neighborhoods that matter, a speed-to-lead layer reaches every lead within a minute, and retention automations catch the member whose attendance is slipping before they cancel. We have built for gyms and studios and run the numbers the way an owner does.

How this business works

Where growth is won or lost in fitness.

Someone decides to join a gym at a specific moment: a doctor's comment, a photo they did not like, a new year, a move to a new neighborhood. They search on a phone, look at three or four places within a short drive, and book wherever the trial is easiest to claim. The first visit decides almost everything. If the front desk knows their name and a coach walks them through the session, they join. If they are handed a waiver and pointed at the floor, they do not. Most gyms spend heavily to create the lead and almost nothing on the ninety minutes that turn it into a member.

The calendar is brutal and predictable. January and September bring waves, summer and the holidays thin out, and a studio that markets only in the waves rides a cycle of full classes and empty ones. Memberships are modest per month, so the customer only pays back over a year, and average membership length is the number that quietly decides whether the business works. Prior vendors usually ran lead ads that optimized for cheap form fills, sent leads to the owner's phone with no follow-up system, and never connected to the membership software, so cost per member and churn were never measured at all.

We build the trial-to-member system and then protect the member. The site sells the trial with booking that stays on the site and writes to the studio software. Paid social and search fill the trial calendar by neighborhood with creative shot on the floor, and every lead gets a text within a minute plus reminders until they walk in. Attendance-triggered automations catch fading members and hand a coach a reason to reach out. Win-back and referral campaigns run all year. Reporting ties spend to trials, joins and membership length by source, so the owner can see which campaigns produce members who stay.

What holds growth back

The problems we fix in gyms and fitness studios.

  • Trial leads that never show.

Paid social produces cheap leads, but half never book and a third of the booked never walk in. Without instant follow-up and a booked trial on the calendar, cheap leads are just expensive.

  • January fills, April empties.

Seasonal pushes bring a wave of members who fade by spring. Marketing that never touches retention means every year the business buys the same members twice and calls it growth.

  • The website is a schedule, not a salesperson.

Most gym sites are a class schedule and a contact form. The trial offer is hard to find, pricing is hidden, and booking bounces to a third-party page that loses half the visitors.

  • Software that does not talk to marketing.

Mindbody, Glofox or Zen Planner knows who joined and who cancelled, but the ad platforms and the follow-up never see it. Spend optimizes for leads, not for members who stay.

  • Google Business Profile.

Per-location listings with class photos, posts, offers and review responses run every week.

What we run the account by

  1. Cost per attended trial.

Not cost per lead; a trial that never shows is worth nothing, and this number exposes weak follow-up.

  2. Trial to member conversion rate.

Share of attended trials that join, which reflects the first-visit experience and the offer more than the ads.

  3. Average membership length by source.

How long members from each channel stay, which turns acquisition cost into actual lifetime value.

  4. Monthly churn rate.

Members lost each month, the number that decides whether growth is real or the business is on a treadmill.

  5. Revenue per member per month.

Membership plus classes, personal training and retail, which shows whether the base is deepening or just holding.

Rules we respect

  • Auto-renewal and cancellation laws.

State laws and the FTC rule require clear renewal terms, consent and simple cancellation, so pricing pages and sign-up flows disclose terms and offer an easy cancel path.

  • Before-and-after and results claims.

Transformation images and results language need typical-results context and consent, and health claims stay within what a gym can substantiate.

  • TCPA consent for lead texting.

Trial follow-up texts run only with documented consent captured at the form, with opt-out honored and records kept in the CRM.

  • Music licensing in video ads.

Paid ads use licensed or platform-cleared music only, since popular tracks allowed on organic posts are not cleared for advertising.

How an engagement runs

The fitness playbook.

  1. Audit the member math.

We pull a year of leads, trials, joins and cancellations by source from the studio software, time the lead follow-up, and find where trials fail to show and members fade.

  2. Fix follow-up and tracking.

Speed-to-lead texting, call tracking and the studio software integration go in first, with the Conversions API wired so ads see booked trials and joins before we scale spend.

  3. Build the trial-first site and creative.

We launch the site with on-site booking, program pages and clear pricing, run a shoot day in the gym, and set up the retention automations on attendance data.

  4. Run the calendar.

Meta, search and profile campaigns run against a seasonal plan with weekly creative tests, reviewed on cost per trial, show rate, join rate and membership length by source.

Why Theory Road

Why gyms and fitness studios choose us.

We have designed studio sites, integrated Mindbody and Glofox, shot creative on gym floors and run trial campaigns, so we already know that show rates and churn are the real fight.

  • We engineer retention, not just acquisitionAttendance-triggered automations, win-back campaigns and member economics dashboards are built by us, which is what makes an acquisition campaign pay off past the first month.
  • We test on our own brands firstWe operate a portfolio of our own brands and prove funnels, follow-up and retention automations there before selling them, so a gym gets playbooks that have already run, not experiments.
Questions

Hiring an agency for a fitness business.

Q01
Who is the best marketing agency for a gym?
The best agency for a gym can show cost per trial, show rate, trial-to-member rate and membership length by source, and has integrated the studio software so those numbers are real. Ask how they follow up on leads in the first minute, what they do about churn, and whether they shoot creative in your space. We do all of that and report on members, not leads.
Q02
How do we get more trial members to actually show up?
Speed and friction. A lead that gets a text within a minute with a booking link, then reminders the day before and the morning of, shows up far more often than one that hears from you tomorrow. Keep booking on your site, write the trial into the studio software, and have a coach call the day before. We build that sequence and measure show rate by source.
Q03
How do we reduce member churn at our studio?
Watch attendance, not cancellations. A member who drops from three visits a week to one is on the way out, and the studio software already knows it. We build automations that trigger a coach message, a class recommendation or an offer at that moment, plus milestone celebrations and referral rewards that give members reasons to stay. Churn falls when someone notices early.
Q04
Can you integrate our ads and website with Mindbody or Glofox?
Yes. Trial bookings happen on your site and write into Mindbody, ABC Fitness Glofox, Zen Planner, Mariana Tek, PushPress or ClubReady with the lead source attached. We read back joins and cancellations so Meta and Google optimize toward members who stay, and the dashboard shows revenue per member by campaign rather than form fills.
Q05
What should a gym website include?
A trial offer on every page with booking that stays on the site, a page per program with coach bios and what a first session looks like, clear pricing and membership terms including cancellation, real photos and video from your floor, location pages for each site, member reviews, and a fast mobile experience. The schedule belongs on the site, but it is not the point of the site.
