Our work is scoped after a short call: a fixed-scope build covering the script, the agent, booking, CRM connection and compliance setup, then either monthly management with transcript review and tuning, or a documented hand-over. Monthly management runs month to month after an initial term, and usage costs stay on your own accounts.

Can an AI receptionist really book appointments for a small business?
Yes, when it can read your real schedule. We connect the agent to Google Calendar, Outlook, ServiceTitan, Jobber, Housecall Pro or a practice scheduler, set rules for appointment types, service areas and buffer times, and send the caller a confirmation text. Without a live schedule the agent should take a request and create a callback task instead of promising a time.

Is it legal to record calls answered by an AI agent?
Recording rules are set by state. Most states allow recording with one party's consent, but roughly a dozen, including California, Florida, Pennsylvania and Washington, require every party to agree. Because callers can be anywhere, we add a clear recording and AI disclosure at the start of the call and build to the strictest rule. This is not legal advice; confirm with your counsel.

Can we use AI voices to call leads back?
Only with the right consent. In February 2024 the FCC ruled that AI-generated voices count as artificial voices under the TCPA, so outbound calls using them need prior express consent, and prior express written consent for telemarketing. We build outbound AI calling only for leads who opted in on a compliant form, and we log that consent with the call.

Can an AI answering service be HIPAA compliant?
It can be set up to support HIPAA compliance, but the agent is only one link. Every vendor that touches patient information, including telephony, the speech and language layer, the CRM and storage, needs to sign a business associate agreement and be configured for it. We map the full call path first and keep health details out of any system without a BAA.

How do you measure whether the AI voice agent is working?
We measure booked appointments, appointments kept, warm transfers answered and calls that ended without an outcome, compared with the missed calls before launch. Minutes handled is a cost number, not a result. Every week we read a sample of transcripts, fix the script where callers got stuck, and report the booking numbers next to your call tracking data.

When is a human answering service still the better choice?
When most calls are emotional, complex or high stakes, such as a family law consultation or a distressed caller, a trained person usually does better. The same is true when call volume is too low to justify the setup. Many businesses run both: AI for after hours and overflow, people during business hours.
