How Google Business Profile really works

Where Google Business Profile pays off, and where it stalls.

A Google Business Profile ranks on three things Google describes openly: relevance, distance and prominence. Relevance comes from the primary category, the services listed and what reviews say. Distance you cannot change. Prominence comes from reviews, links and how well known the business is. Most profiles we open have the wrong primary category, a service area drawn far wider than the company works, an outdated phone number, and photos from years ago. Each is a small problem, and together they cost map pack placement every day.

The harder problems are verification and suspensions. Google now leans on video verification, where the owner records a continuous clip showing the business location, signage, tools or equipment and proof of management, and profiles fail when the video skips a step. Suspensions follow edits that look risky to Google: a new address, a name with keywords stuffed in, a virtual office. Meanwhile spam competitors with fake addresses and keyword names take map spots, and ownership often sits with a former employee or an old agency. Google also retired profile chat in 2024, so old message links now lead nowhere.

What usually goes wrong

  • Keywords in the business name

    Adding city or service words to the profile name, like a company name plus roofing plus a city, breaks Google's guidelines. It invites competitor edits and is a common trigger for suspensions and name reverts.

  • Virtual offices and shared addresses

    Profiles verified at a virtual office, a coworking desk or a mailbox store do not meet Google's rules for a physical location. They are frequently suspended and are hard to reinstate once flagged.

  • Service area drawn too wide

    Listing every county in the state as a service area does not make a profile rank farther away. It dilutes relevance and misleads customers, and Google limits how many service areas a profile should show.

  • Ownership held by the wrong person

    Profiles created by a former employee, a web developer or an old agency leave the business unable to edit or recover them. Getting ownership back through Google's request process can take weeks.

What it costs

Google Business Profile is free to create and manage, and Google does not charge for verification, posts or reinstatement requests. Why was our Google Business Profile suspended?
Common triggers are keywords added to the business name, an address that is a virtual office or mailbox, a sudden address or category change, a service business showing an address it cannot use, or duplicate profiles. How does video verification work?
Google asks the owner to record one continuous video, without cuts, showing the business location or the area you serve, permanent signage or branded vehicles and equipment, and proof you manage the business, such as opening the front door with your key, a register or showing tools and business documents. We plan the shot list with you beforehand so it passes on the first attempt.

Should a service-area business hide its address?
If customers do not come to your location, Google's guidelines say to hide the address and list a service area instead. You still verify with a real address, it just is not shown publicly. Listing a home address publicly is a privacy risk, and showing a storefront you do not staff breaks the rules. We set the service area to where you actually work.

Can you remove fake competitor listings?
We can report them. For listings with fake addresses, keyword-stuffed names or duplicate profiles, we suggest edits on Maps and file Google's Business Redressal Complaint Form with evidence such as street photos, state business records and phone lookups. Google decides the outcome and not every report succeeds, but well-documented reports get results more often than single suggested edits.

Do you take ownership of our profile?
No. Your business stays the primary owner. We are added as a manager through our Google Business Profile organization account, which lets us work on many locations without holding anyone's personal login. You can see and remove our access at any time, and if an old agency or former employee holds ownership, we help you request it back.
